Professional secretary

Professional and management elements are being increasingly used in duties of a secretary. In addition, proper application latest equipment technology has become important to decision making, introducing marketing in practice, organizing advertising, get information from the internet and resolving problems.

Having full information and knowledge of these professional tendencies for today’s secretaries may extensively impact a given enterprise’s’ activities. For the purpose of giving all these skills the Mongolian National Chamber of Commerce and Industry in cooperation with Berlin Chamber of Commerce and Industry have successfully organized training courses on “Professional Secretary” since 2001 and has seen their 18th graduation. Over 370 people have graduated from our training courses and they are to be the first professionally educated ones in Mongolia. We have made some changes in our curriculum and starting from this year training course will be organized twice a year with duration of three months. The next enrollment will start from July, 2010.

Specifics of our training

  • Will provide skills to combine professional tendencies of a modern secretary with management elements, to be flexible, be expeditious, and be able to make decisions within one’s competency,

  • Lessons will be thought by teachers trained in Federal Republic of Germany,

  • Out of 5 working days 3 will be on theory, 2 on practice,

  • After graduation the Certificate in English and Mongolian will be given.

Requirements:

  • To be a secretary or,

  • Be interested working in this field, self-confident,

  • To have a secondary, special secondary and higher education,

  • To have a basic knowledge of English.

Curriculum:

Start- 1st of September, 1st of January of every year,
Continuation - 3 months,
Total theory time – 234 hours,
Practical time – 54 hours.

Office management – 30 hours

  • Duties and professional requirements of secretary,

  • Receive mail, register the documents, filling,

  • To draft official letters in accordance with Mongolian standard MNS5140-5142:2000,

  • Take notes, report writing, prepare and organize events and official missions,

  • Planning appointment time, conduct the work by phone,

  • Office organization.

Human Resources Management -12 hours

  • Importance of human resources policy,

  • Human resources recruitment,

  • How to place a vacancy announcement,

  • Labor contract.

Business relation, ethic -18 hours

  • Role and types of relations,

  • Non verbal relations,

  • How to deal with customers,

  • Make a presentation.

Basics of legal issues -10 hours

  • Legal system,

  • To do a contract,

  • Inkoterms-2000.

Computer -36 hours

  • Applicable programs and how use them,

  • Build graphics and formula,

  • Internet usage.

Management -10 hours

  • Basics understanding,

  • Management of group,

  • International management

English – 74 hours

  • Basic grammar of English,

  • Draft and write official letters,

  • Phone conversation skills.

Basic of Economics – 10 hours

  • Basics of Economics, market, demand and supply, price,

  • Market place,

  • Basics of Macro-economic issues,

  • Shift and tight fiscal policy.

Basics of Marketing – 16 hours

  • Marketing management, information system, marketing environment,

  • Market of a customer and of an enterprise, product life cycle, pricing,

  • Distribution and activation,

  • Public relations and advertisement of company.

Stylistics of official documents – 10 hours

  • Stylistics of official documents,

  • Drafting official letters,

  • Document archieve.
